Shelter Manager
Accountability: Executive Director
Function: Serves as the Stray Haven Humane Society & SPCA Shelter Manager and is responsible for animal care and operational activities, personnel, and some financial activities.
RESPONSIBILITIES
Animal Care
1. Responsible to ensure the daily operations and maintenance of Stray Haven shelter is executed properly. Must be knowledgeable about different animals and their behaviors, and immediately recognize any problems or abnormal activity that occurs.
2. Engage veterinarians to evaluate and treat animals as needed. Maintain detailed logs regarding treatment and medical history on each animal in our care.
3. Supervise and participate in the cleaning and disinfecting of the facility.
4. Conduct daily rounds with animal care staff.
5. Oversee weekly health checks on every animal in the facility.
6. Develop and oversee sound enrichment and training protocols for all animals in our care.
7. Transport of animals to vet if volunteers are not available.
8. Standard operating procedures update and regular review.
Incoming Animals and Adoption
1. Oversee the selection process for appropriate adopters.
2. Instruct potential animal owners about animal care, provide the animal’s particular history, and follow up after adoption to assure animal is in safe environment.
3. Follow up with flagged adopters to work through behavior concerns or facilitate returns.
4. Lead discussions and provide responses on Facebook’s Stray Haven Dog Adopters group page and main Facebook page.
5. Supervise all incoming dogs from Dog Control Officers (DCO’s) and law enforcement agencies, such as Sheriff and Waverly Police Department. Ensure we are in compliance with local and state laws and are following established protocol.
Supervisor Role
1. Routinely inspect the animal shelter to ensure that it is a clean and safe environment for pets and people.
2. Responsible for hiring and training capable employees and effectively supervising their work.
3. Provide employees with timely reviews and evaluations and continually provide positive feedback and additional training as needed.
4. Responsible for enforcing safety rules, cooperating with employees to solve problems.
5. Weekly review and electronic submission of payroll.
6. Manages the weekly staff schedule, and any/all changes.
7. Submit Pet of the Week to local news agencies/posting on website.
8. Provide leadership, work collaboratively with staff as needed to complete tasks and promote teamwork. This includes working hands on in the kennels and/or cattery.
9. Oversee the low cost spay/neuter program, ensuring compliance with our partner organization, SOS, and preserving/expanding customer relations.
10. Manage community service and other temporary workers, making sure shelter policies are adhered to and tasks are completed in conjunction with shelter staff and regular volunteers.
11. Conduct personal and coordinate continuing staff education utilizing ASPCApro, Cornell Maddie’s Fund, Best Friends Animal Society, UC Davis Koret’s Shelter Medicine Program and other resources.
12. Identify outside training programs to benefit overall shelter improvements, fee-based programs require Executive Director’s pre-authorization.

Fiscal and Recordkeeping Oversight
1. Monitor expenditures to ensure that the organization stays within budget guidelines.
2. Responsible for various reports, billing, and recordkeeping as established by the Executive Director, external agencies, and shelter needs.
3. Responsible for keeping our database, Animal Shelter Manager, website, and Petfinder.com current.
4. Monitor inventory and order supplies in conjunction with Office Supervisor.
Community Relations
1. Must be proficient in dealing with the general public, answering questions and complaints.
2. Must have a patient, calm, and professional demeanor.
3. Responds to community concerns regarding animal issues.
4. Deals with difficult situations and resolves problems of a unique or sensitive nature.
5. Promotes relationships with other local and national nonprofit and animal welfare organizations.
6. Be visible and advocate the Humane Society and its mission within the community through special events, media opportunities, and publications.
7. Cultivate collaborations and partnerships with other community entities.
8. Accept donations, assist staff in placing and storage as needed.
9. Review Facebook/social media feeds, posting when needed.
10. Assist in event planning, primarily onsite activities (coordinating vendors or tables/tents)
11. Support volunteer activities and outside fundraiser/adoption events (coordinating Table Event Kit, adoptable animals for events).
Working Conditions
1. Must be willing to work (at times) irregular hours, weekends, and holidays.
2. Must be able to deal with the public in a sometimes fast paced and active environment.
3. Must be able to deal with strenuous physical activity including standing, walking, sitting, stooping, kneeling, or crouching.
4. Must be able to frequently lift and/or move up to 50 pounds and occasionally lift and/or move up to 100 pounds.
5. Must be willing to occasionally work in inclement weather, such as below freezing, above 90 degrees, and in the rain/snow.
General Requirements
1. A Bachelor's Degree or any equivalent combination of education/experience is preferred. Associate Degree is acceptable with appropriate experience.
2. Management experience (preferably in a non-profit environment) or related work experience.
3. Licensed Vet Tech desirable.
4. Must have a valid driver's license or equivalent photo identification and be a legal citizen of the United States of America.
5. Excellent written and verbal communications and presentation skills.
6. Leadership experience and strategic qualities to develop and manage a staff and to direct day-to-day activities and operations.
7. Proficiency in required computer applications (Microsoft Word, Excel, Animal Shelter Manager, Internet, Facebook).
8. Ability to manage difficult or emotional customer situations, and ability to respond promptly to customer needs.
