Job Description

The Community Outreach Coordinator helps expand access to veterinary care for animals in the community with an explicit focus on Oakland’s high priority racial equity neighborhoods where residents are struggling to meet their basic needs. This role coordinates all aspects of vaccination clinics and spay/neuter clinics, including managing and assisting in the development of the budget, ensuring effective community outreach, managing logistics, supplies, scheduling staff and volunteers, and maintaining accurate records. 

Using strong organizational skills, the coordinator helps ensure clinics run smoothly to effectively serve animals and their caregivers. The primary work location for this position is at Oakland Animal Services, and also includes coordinating and attending off-site community clinics/events a few times per month.

Job Duties and Responsibilities:

Coordinate and manage community vaccination clinics and spay/neuter clinics, including securing locations in priority neighborhoods, scheduling veterinarians, registered veterinary technicians and assistants, staff, and volunteers. 

Prepare for clinics by ordering all needed materials and supplies in advance, and ensuring all supplies and resources are prepared and ready for each event.

Maintain an organized system for clinic supplies and equipment stored at the shelter, ensuring materials are stored neatly and inventoried regularly.

Coordinate clinic setup and breakdown, including transporting supplies, preparing stations, coordinating staff and volunteer roles, and ensuring a safe and organized environment for animals and community members.

Provide hands-on support during clinics when needed, including animal handling, assisting with vaccinations and microchipping, managing check in, and other tasks to ensure clinics run smoothly.

Arrange spay/neuter appointments for animals and manage all spay/neuter clinic logistics.

Oversee animal intake and discharge for spay/neuter clinics, including coordinating drop off and pick up, maintaining accurate records, and ensuring all required paperwork is completed.

Maintain organized records and accurately enter clinic paperwork and data following each clinic.

Coordinate and communicate with staff and volunteers to ensure adequate coverage for all clinics and proactively plan for backup support where needed.

Ensure efficient and effective service delivery to community members and their animals.

Represent the organization professionally when interacting with community members, staff, volunteers, and partners.

Serve as the lead shelter staff member supporting communication with grant funders, including sharing insights about program metrics, community needs, and opportunities to expand services.

Develop outreach plans to ensure clinics are meeting the needs of the most vulnerable communities in Oakland.

Track and report clinic metrics, such as number of animals served, vaccinations administered, surgeries completed, and related budget and expenses.
