Overview: The Coordinator at the Adopt-A-Dog animal shelter plays a critical role in ensuring smooth daily operations and providing support across various functions. This full-time, on-site position requires excellent organizational and communication skills to handle a wide range of responsibilities, from answering phones to coordinating adoptions and volunteer activities. The role provides daily management direction, sets goals and objectives for the shelter, reviews issues, addresses shortfalls, and helps plan for maximum performance. The position reports to the Executive Director and supports the Adoptions Coordinator. No prior experience in dog care or shelter work is necessary.
Key Responsibilities:
1. People, Phone, and Email Management:
o Set and review daily/weekly goals and objectives. Create daily and weekly calendars of events, staff, volunteers, and visitors to understand needs and coverage.
o Answer incoming calls and assist with inquiries, providing resolutions and follow-ups.
o Monitor and respond to emails, assigning tasks as needed and ensuring timely follow-up and completion.
o Address departmental needs, issues, and concerns promptly and plan for continuous improvement.
o Guarantee exceptional customer service at all levels of interaction.
2. Adoption and Foster Coordination:
o Assist with all aspects of the adoption process, including conducting interviews, outreach, scheduling pick-ups, arranging visits, and finalizing adoption paperwork.
o Support foster care activities by conducting interviews, managing outreach efforts, and coordinating scheduling and pick-ups.
o Ensure all in-house animals available for adoption have current pictures in the database and on websites.
o Collaborate with PR, social media, and events teams to enhance the visibility of adoptable pets. Work with staff and volunteers to ensure maximum exposure for dogs.
3. Volunteer Coordination:
o Assist in managing volunteer activities, including interviews, coordination, outreach, and scheduling.
4. Event Coordination:
o Assist the Operations Director and/or Kennel Supervisors in selecting animals for offsite events and other media promotions. Ensure dogs are available on time for pick-up.
5. Dog (Intake) Arrivals and Surrenders:
o Assist with the intake process for dogs, ensuring proper documentation and care.
o Schedule veterinarian visits and transport.
6. Tracking and Scheduling:
o Maintain accurate records of visitors, volunteers, staff, and events.
o Manage calendars and ensure adequate coverage for all activities.
Requirements:
• Full-time position (5 days/40 hours per week) at the shelter (not remote)
• Available to work one day on the weekend, Saturday and/or Sunday (dog intake arrivals and events)
• Strong organizational skills and attention to detail
• Excellent communication and interpersonal abilities
• Ability to manage multiple tasks and prioritize effectively
• Ability to ensure exceptional customer service is provided at all levels of employee, volunteer, adopter, and foster interactions
• Ability to communicate departmental needs, issues, and concerns promptly to the Executive Director
• Ability to promote teamwork and positive interaction within the department
• Knowledge of key social media platforms, e.g., Facebook, Instagram, etc.
• No background in dog care or animal shelter necessary
Benefits:
• Salary Range: $35,000-$40,000
• Paid time off
• Health Reimbursement Arrangements (HRAs) provided after 90 days
