JOB/POSITION TITLE: Veterinary Services ManagerSTATUS: Exempt
PRIMARY PURPOSE: The Veterinary Services Manager oversees the operations for Hawaiian Humane Society’s shelter veterinary services and community spay/neuter center and is responsible for ensuring that each program is meeting its goals and mission. The Veterinary Services Manager delegates duties as needed to achieve clinic goals and oversees support staff to ensure individual duties are being completed.
Reports To: Chief Veterinarian
Supervises: Veterinary Services Assistant Managers, Registered Veterinary Technicians, Veterinary Services Assistant II’s, and volunteers.
ESSENTIAL DUTIES/FUNCTIONS:
• Department Staff Management & Development. Recruit, hire, develop, coach and counsel veterinary services and community spay/neuter center team members and volunteers. Oversees staff schedule and assignments and monitors work to ensure completion of medical services and care provided to animals. Ensure proper training and team building of staff, creating training where needed. Responsible for managing the day-to-day operations of veterinary services and community spay/neuter center. Provides regular performance reviews and regularly scheduled one on one meetings with staff for coaching, development, discipline and/or mentorship in accordance with Hawaiian Humane best practices. Supports and promotes the development of skills related to the advancement of our goals and mission. Conducts and participates in meetings with staff to review procedures, discuss workplace issues and share ideas.
• Organizational Improvement and Professional Development. Continue to educate oneself concerning veterinary medicine, animal care, animal welfare, and staff supervision. Improves or updates current procedures as needed according to Hawaiian Humane policy.
• Operations Management. Develop departmental objectives and plans while assisting in the development of Hawaiian Humane initiatives and programs. Follows the Hawaiian Humane philosophy and guiding principles. Reviews all invoices prior to approving including credit cards, ER bills and vendors. Ordering medications, controlled drug substances and operating/maintaining logs as is related to these products. Reviews medical and office inventory spreadsheets to ensure proper budget management. Work closely and collaborate with the Chief Veterinarian to effectively manage the veterinary services teams, departmental resources and workflow. Work with staff and outside vendors as necessary to ensure that all equipment is up to date and in working order. Supports the teams across both campuses.
• Oversight of Medical Care, Treatment and Drugs. Performs paraprofessional medical care and treatment to animals in need including emergency first aid. Supervises the use, control, and recording of drugs and supplies used in department according to federal and Hawaiian Humane procedure.
• Customer Care. Ensures that the public receives world-class customer service that is courteous, respectful and that professional services from all staff are in accordance with Hawaiian Humane philosophies and guiding principles. Handles public complaints or concerns effectively and professionally. Actively promotes spay and neuter, and educates individuals on responsible pet care whenever possible. Represents Hawaiian Humane in a professional, courteous manner at all times.
• Policy & Compliance. Ensures policies in medical and administrative manuals are followed and updated as needed. Ensures proper procedures are being followed for animal handling, disease control and patient care. Ensures staff are properly trained and using their time efficiently and effectively. Ensures the clinic has proper working equipment and supplies and that the clinic is in compliance with all regulations and codes. Ensuring worksite safety per OSHA/HIOSH guidelines; responsible for training and management of a safe working environment.
• Performance & Oversight. Monitor and evaluate program effectiveness, including statistical analysis, report creation and presentation, and implement improvements where needed in conjunction with the chief veterinarian. Reviews all invoices prior to approving including credit cards, ER bills and vendors. Ability to able to objectively evaluate clinic logistics and implement working solutions to inefficiencies in real time. Develop SOPs and ensure they are updated and practiced by staff and volunteers.
OTHER DUTIES/FUNCTIONS:
• Operations Support. Works with other internal departments to collaborate, resolve issues and improve organization wide processes. Participates on committees and special projects as assigned. In collaboration with the Chief Veterinarian administers the euthanasia training program and participates in the euthanasia program to support end-of-life care.
• Other Duties as Assigned. Ensure a positive public image to enhance the operation of the organization and improve the quality of life for animals. May include organization-wide support as needed such as but not limited to participation in events, serving as spokesperson, fundraising, covering other operational departments, and Hawaiian Humane’s role as a first responder to disasters.
JOB CONDITIONS:
• Work Environment: Indoors and outdoors under regular veterinary, animal shelter, and office conditions.
• Equipment Use: PC Computer, telephone system, database management systems, veterinary medical and surgical equipment.
• Other Materials: Commercial disinfectant, leash/rope, water hose with spray gun, commercial cleaning fluid, veterinary drugs, instruments and equipment, copier, and calculator.
• Hours: Based on operational requirements. Role is full-time, schedule is determined as needed which may include weekends, and some holidays. We are a 7 day a week operation to provide the best care possible to our animals and community. Some on-call triage support is required
MENTAL, PHYSICAL AND COMMUNICATION DEMANDS:

• May require lifting and carrying up to 50 lbs. with reasonable accomodations.
• Requires eye-hand coordination in handling, capturing, transporting, restraining or administering veterinary treatment to a live animal
• Must have ability to handle telephone operation and etiquette.
• Must have clear and legible writing skills.
• Requires knowledge of computer input functions and report writing.
• May require knowledge of and ability to perform veterinary technical support procedures to all types of animals.
• Requires Knowledge of common diseases and medical conditions affecting all types of animals.
• Requires patience and tact when dealing with difficult, emotional, or angry people.
• Must communicate clearly while talking to individual people either in person on the telephone, or over the intercom system.
• Requires understanding, compassion, and ability to perform euthanasia on all types of animals.
• Requires handling people and animals in a pleasant, courteous, and professional manner.
QUALIFICATION REQUIREMENTS:
• Skills/Knowledge: This position requires multi-tasking in a fast-paced, dynamic environment. Flexibility and adaptability will be invaluable as job duties may fluctuate from day to day and even moment to moment. The ability to communicate assertively, effectively and compassionately with staff and clientele is essential. Must demonstrate initiative and the capacity to work independently. Must be able to learn basic veterinary medical concepts including but not limited to vaccine protocols and anesthetic risks. Will be asked to communicate with the public on a regular basis in a professional manner.
• Education/Training: Minimum of two years managing large teams of people from entry level employees to technically skilled staff members. Bachelor’s degree in relevant field preferred. Registered Veterinary Technician preferred.
• Experience: Working knowledge of the veterinary clinical and surgical environment, specifically animal clinic and/or animal welfare a plus. High degree of expertise and working knowledge of technology, computer systems and data management systems required. At least 5 years of customer service experience preferred. At least 2 years of animal handling experience required.
