Volunteers are an essential part of SPCA Florida. We have a team of dedicated, innovative, and compassionate staff and volunteers caring for every animal that comes to our Adoption Center. Our well-run volunteer program helps amplify our reach and increases our capacity to care for the animals and the number of lives we save. We work together every day to make a difference in the lives of animals. SPCA Florida is seeking a full-time Volunteer and Community Outreach Coordinator to join our excited and compassionate team.The Volunteer Coordinator will perform duties independently with minimal supervision, operating from specific and defined directions and instructions, all while advocating for SPCA Florida’s vision and mission of helping people and saving pets. The Volunteer and Community Outreach Coordinator is responsible for the recruitment, training, placement, and retention of volunteers. In addition, this position oversees the Community Involvement Program and assists as needed with this function.
Duties and Responsibilities include, but are not limited to the following:
1. Meets regularly with department managers to assess their volunteer needs.
2. Prepares for and hosts the annual volunteer Thank You event.
3. Handles training/orientation a minimum of 2-3 times per month.
4. Assists with the recruitment and assignment of volunteer jobs and duties for major fundraising events; Oversees the organization of the volunteers for these major events.
5. Promoting and organizing adoption events.
6. Works with incoming volunteers after orientation training to ensure they are prepared for their positions.
7. Assists new volunteers through the volunteer process, responding to their questions and helping them to get involved in their areas of interest.
8. Organize and lead regular volunteer meetings, orientations, and trainings following SPCA Florida policy. Collaboration with other departments is expected
9. Creates and maintains monthly community events calendar.
10. Oversees the overall operations of the volunteer program, including maintaining excellent record keeping and tracking of volunteer hours along with other related statistics through Volgistics.
11. Review and approve/reject all volunteer applications.
12. Develop recruitment methods and participate in volunteer recruitment.
13. Responds to the needs of volunteers
14. Organize all community service, company, school, and other community projects that collaborate with SPCA Florida.
15. Responsible for the hiring, creating, and planning of all sessions of the SPCA Florida Critter Camp Program which includes educational material and scheduling guest speakers.
16. Ensure all volunteers, community groups, and children handle animals in a low-stress, safe, and humane way at all times.
17. Develop monthly Board and Director reports from Volgistics.
18. Mediates volunteer issues and consults with department directors, if necessary, on how to handle issues.
19. Maintains inventory of volunteer shirts and orders as needed.
20. Manages the department budget.
21. Participate in staff and department meetings and training opportunities.
22. Handle monetary transactions accurately and securely. Making sure all donation boxes throughout the community are picked up and accounted for.
23. Assign volunteers for Pet Therapy and other activities at nursing facilities.
24. Liaison to Pet Retail Partnership stores, including scheduling weekly adoption events.
25. Honor the confidentiality of shelter business.
26. Provide excellent customer service to the public, volunteers, and other staff members at all times.
27. Gives tours of the shelter.
28. Attend volunteer events as necessary.
29. Performs other duties as required and assigned.
Qualifications and Skills
• Management experience for a non-profit organization with a preference for animal welfare and demonstrated managerial traits preferred but not required.
• AA Degree required; 4-year degree preferred. An equivalent combination of education and experience that is determined to be directly related to the specific requirements may be substituted.
• Knowledge of decision-making techniques, and skill in mediating disputes, conflicts, and grievances.
• Ability to maintain strict confidentiality for all sensitive subjects of SPCA Florida.
• Excellent organizational skills: ability to prioritize and meet deadlines.
• Computer skills in a Windows environment preferred including Word, Excel, PowerPoint, and Pet Point.
