POSITION SUMMARY: The Grants Officer is a highly skilled communicator who can translate Seattle Humane’s mission of saving lives and completing families to the page. They are a creative and self-motivated team player who can manage multiple projects and communicate well both verbally and in writing. Reporting to the Development Director, the primary duties of the Grants Officer are to prospect, identify, and track funding opportunities for grants; coordinate grant-writing activities across the organization; track grant reporting deadlines and coordinate report compilation; oversee a portfolio of donors and funders to maintain and/or cultivate relationships with; and assist the Development team with writing other donor outreach and engagement activities, as needed. The ideal candidate has demonstrated experience in grant writing/grants management and a team-forward approach for a variety of projects in our fast-paced environment.
KEY OR ESSENTIAL FUNCTIONS:
Utilize research tools and other resources to proactively prospect and identify grant funding opportunities that may be available through private and corporate foundations, and manage grant writing, application, and reporting timelines.
Coordinate the development, writing, and submission of grant proposals, and maintain good overall communication with program funders.
Collaborate across departments with Seattle Humane staff in proposal development and provide oversight to ensure all grant writing is strategically targeted, aligned with donor interest, and well-executed. This includes our programs, service areas, and advocacy efforts.
Partner and consult with the Development Director and Finance Director to develop proposal budgets for funding opportunities.
Develop and write clear, concise, and compelling impact reports, donor updates, and creative stewardship materials (such as case studies, impact stories, and visual content) that effectively communicate the results of funded projects and deepen donor engagement.
Manage grant reporting calendar and donor stewardship timeline.
Manage ongoing relationships with a portfolio of donors and funders, and cultivate new relationships in coordination with other Development staff.
Produces clear and concise communication including emails, donor proposals, presentations, and other written materials.
Assembles, analyzes and maintains data to help the department track progress to goals and effectiveness of programs and projects using Raiser’s Edge.
Handles multiple tasks and responsibilities with accuracy and within time frame assigned.
Manage a comprehensive library of proposals, reports, donor communications, and commonly used materials, ensuring these resources are easily accessible and regularly updated.
Ensure accurate tracking of submissions, communications, and financial information in tracking systems, including fundraising database.
Performs other office management and administrative duties as assigned.
COMMUNICATION/INTERPERSONAL CONTACT:
Excellent writing skills to create clear, concise, compelling funding proposals and reports that capture the purpose, importance, and impact of Seattle Humane’s programs.
Daily verbal and written communication with staff and volunteers through direct contact, meetings, telephone, mail and email.
Frequent written or verbal communication with volunteers, donors, community members, vendors, staff and committee members.
Commits to valuing diversity and contributes to an inclusive and welcoming working environment.
COMPLEXITY:
Uses independent judgment in decision making and must work well both independently and as part of a team. Need to handle details of sensitive and highly confidential nature in a professional manner. Diverse duties on a weekly basis, as routine and projects can vary from day to day. Exceptional demonstrated attention to detail and experience in responding to unexpected situations or requests from donors or staff. Flexibility to adapt to differing support needs, working styles, and demands.
Qualifications
KNOWLEDGE/EXPERIENCE/EDUCATION OR TRAINING:
Requires 3+ years experience in grant prospecting and writing, managing budgets and development support.
Highly motivated, organized, detailed oriented, and efficient.
Experience using Raiser’s Edge.
Demonstrated attention to detail and quickly completing tasks on deadline.
Excellent professional and technical writing skills, including grammar and style clarity required.
Performs accurate data analysis and communicates data in formats that are easy to read and understand.
Requires experience and skills with Microsoft 365 Suite.
Demonstrated experience in maintaining highly accurate records and processes via paper and electronic systems.
Deals with diverse styles and personalities and build strong and trusting relationships with peers, managers, volunteers, and internal and external partners.
Demonstrated interest in, and passion for nonprofit work and animal welfare highly desired.
WORKING CONDITIONS:
A general, open, office environment. Potential hazards are exposure to eye and/or back strain. If handling animals there is a potential of animal bites, exposure to zoonotic diseases (diseases that can be transmitted from vertebrate animals to people), animal dander and noise.
Equipment Used: Multi-line telephone, personal computer and printers, postage, copier or fax machines, animal leashes, collars and/or carriers, Seattle Humane vehicle.
Work Hours: Normal business working hours, 40 hours per week, with occasional evening/weekend hours required to cover events. Attendance required at all-staff meetings and assigned training workshops, meetings or special events. Staff currently work in a hybrid setting, with a minimum of two in-office days per week.
