Job Description

We are seeking a detail-oriented and proactive Operations Assistant with strong computer and technological competence to join our animal-loving team. This role will involve supporting various aspects of our operations, ensuring efficiency, and facilitating smooth workflows across departments. The ideal candidate will be collaborative, have strong communication skills, excellent organizational abilities, and a passion for problem-solving as well as a desire to help better the lives of farmed animals through nonprofit work.

Hours: Full-time, Monday through Friday (limited evening & weekend help may be needed)

Salary: $22-24/hr depending on experience

Location: Hybrid (Grass Valley, CA - 3 days in office, 2 days remote)

Start Date: ASAP

Reports to: Development Director


Responsibilities & Duties

Development
Pick up, process, and sort mail and donations from post office
Enter donations into CRM (Virtuous) accurately and efficiently
Import donations from third-party processors (Classy, Paypal, Venmo, Benevity, etc)
Send acknowledgments through CRM
Create and add appropriate queries and templates to CRM for acknowledgments
Support Development Associate with donor communication
Print out invoices for check donors
Assist with pulling reports from the Virtuous CRM database.
Assemble, mail out donor support or engagement packages as needed

Administrative
Help answer the phone and interact with guests
Manage day-to-day office operations, including maintaining office supplies, equipment, and facilities.
Organize and liaise with vendors
Ensure timely payments and renewals of third party services
Manage organization and storage of documents.
Oversee IT equipment and setup, including computers and printers.

Team Support
Assist with onboarding and offboarding employee paperwork
Scanning and organizing invoices and payments
Help foster positive culture by organizing team-building activities, events, and trainings.
Support project management efforts by tracking project progress, deadlines, and deliverables.
Act as a point of contact for staff, addressing any concerns or needs related to business operations.

Programs
Track and manage merchandise inventory
Support team with events and volunteer communication, as needed


Desired Qualifications and Skills
Nonprofit experience
Familiarity with google suite, slack, asana
Excellent writing and verbal communication
Ability to work independently
Accurate data entry skills
Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
Has a continuous improvement mindset, always looking for ways things can be done better. Suggests areas for improvement
A strong belief in the mission of Animal Place and an understanding of the impacts of animal farming
