Job Description
The Mitzvah Fund (TMF )is seeking a nimble and creative problem solver to fill a new role as the organization evolves and expands to meet the growing demand for its services.The Operations Director will oversee the daily workings of The Mitzvah Fund, including the full cycle of veterinary care for our patients, maintenance of the hospital’s facility and mobile unit, management of the organization’s volunteers, and general administrative tasks.
The person in this role is expected to understand and manage the full scope of the operations of both the daily physical logistics and demands as well as the routine administrative work that keep The Mitzvah Fund operational. They will support the veterinary team so they can deliver successful client outcomes.
They are expected to be responsive to the ever changing nature of patient care and maintain confidentiality and trust, often with vulnerable clients who are in stressful situations.
This position is required to be on-site at The Mitzvah Fund headquarters and travel with the team to day-long clinics in various locations in Central Vermont. The majority of this work is physically demanding, in close quarters in the mobile hospital. This is a full-time exempt position, working with and reporting to the President. The schedule is variable, as some early mornings, evenings, and weekends may be required.
Key Responsibilities
1. Veterinary Hospital Management:
- Work with the team to keep the facility and mobile hospital clean and prepared.
- Maintain employee and volunteer schedules to ensure adequate staffing levels at all times.
- Develop a strong understanding of The Mitzvah Fund services in order to explain and discuss them at length with clients that may need special attention.
- Manage complex client interactions by setting clear, professional boundaries and delivering empathetic, thoughtful, and solution-oriented guidance that meets TMF’s standard of compassionate care.
- Serve as the primary point of contact for resolving medical equipment issues with manufacturers and managing returns or inventory issues with vendors.
- Communicate with various social service organizations and supporting partners as needed.
2. General Administration and Managerial Support:
- Maintain accurate and timely digital and physical files.
- Maintain finances, including payrolls, budgets, invoices and payments.
- Represent TMF in all public instances as a core ambassador of the organization.
- Maintain schedules for and assist with planning of public/community events to ensure full coverage and training.
- Assist in preparing grant reports including extensive spreadsheets and narratives.
Qualifications
1. Relevant Experience:
- Work in a veterinary or medical environment preferred.
- Experience working with vulnerable populations such as low-income seniors, veterans, unhoused.
- Experience working with or for emergency, health, or social service organizations.
- Nonprofit work a plus.
2. Competencies:
- Exceptional computer literacy and familiarity with medical recordkeeping, accounting, or other database software. Comfortable learning new softwares or computer tasks as needed.
- Excellent oral and written communication skills.
- Commitment to accuracy, thoroughness and attention to detail.
- Ability to prioritize and adapt in fast paced high stress environments.
- Ability to communicate with people with different backgrounds.
- Willingness to learn, take and apply feedback, and show initiative.
Compensation and Benefits
This is a full-time, salaried position with a starting salary of $60,000. Benefits are negotiable and generally include two weeks of paid vacation and sick and personal time off accrued throughout the year. Employees also receive deeply discounted veterinary care for up to two personal animals annually, as well as access to veterinary products at reduced cost.
