Job Description
The Volunteer Program Manager oversees the daily operations of the program, and implements best practices to attract, engage and retain volunteers to support the mission.The Volunteer Program Manager ensures volunteers are successfully integrated into programs and activities by creating a positive and rewarding experience for all. The role helps foster a thriving volunteer community that advances Homeward Pet Adoption Center’s goals through effective operations and continuous development.
Note: This role begins with a focused 1-3 month onboarding period centered on administrative systems, program clean-up, and shadowing key volunteer and staff roles. We’re looking for someone ready to quickly take ownership and grow into the full scope of the role.
Duties & Responsibilities
• Processes volunteer applications, organizes and facilitates volunteer orientation meetings, training and onboarding
• Works closely with all departments to determine and meet ongoing volunteer needs; fills all ongoing, in-shelter volunteer positions and support for special events and promotions
• Ensures volunteers have all items necessary to perform their roles, including HPAC branded clothing
• Maintains regular and ongoing communication with volunteers via email, weekly newsletter, virtual meetings and in person
• Promotes effective communication between staff and volunteers; provides conflict resolution when necessary
• Accurately tracks all volunteer hours and creates reports in a timely manner
• Manages volunteer database and all volunteer scheduling
• Develops and maintains volunteer recognition and retention programs. Plans and oversees special volunteer appreciation events
• Develops, implements and maintains volunteer policies and procedures; ensures compliance with safety protocols
• Works with Director of Operations to create and implement new policies and procedures, develop new programs and provide new opportunities to ensure the success and growth of volunteer program
• Performs other related duties as requested.
Qualifications & Requirements
• Experience in non-profit administration, preferably in an animal shelter setting
• Able to work flexible hours at times; occasional work on evenings and weekends
• Display a positive attitude, show concern for people, animals and community
• Ability to work with a diverse group of individuals, including staff, volunteers and members of the public
• Possess excellent interpersonal, written and verbal communication skills
• Organized, detail-oriented, able to multi-task, and a problem solver
• Be self-sufficient; perform well with minimal supervision
• Experience with volunteer software management systems (Volgistics) a plus; proficient in Microsoft Office applications
• Be able to always represent HPAC professionally
• Must embrace the mission of Homeward Pet Adoption Center
Physical Demands & Working Conditions
While performing the duties of this job, the employee is frequently required to sit (approximately 80% of workday) and walk/stand (20% of workday). The employee may occasionally be required to lift or move material up to 50 pounds, climb stairs, stoop, bend or squat. The nature of some issues addressed in this role may be emotionally distressing.

The noise level in the work environment is usually quiet; the noise level in the animal housing areas may be loud at times. Work at HPAC involves the use of chemicals and solvents for cleaning and disinfecting.
